Team: who handles what

Who the assistant transfers calls to, and who gets tasks. Transfers to team members work on Pro and up.

Team shows for an Office Manager assistant, or for an assistant that already has team members. Add staff member adds a person, a department, an outside body or a room.

What each one gets

  • Calls and tasks: before connecting, the assistant calls the team member with a short brief on the caller. If they don't answer or aren't free, a message is taken and becomes a task.
  • Tasks only: a task after the call, no transfer.
  • Nothing: calendar and meetings only. Never routed here.

Where calls go: an office phone or a mobile. Transfers to an extension aren't possible yet: a task is left instead.

During a calendar meeting: don't put calls through, urgent calls only, or put calls through anyway. The assistant only sees when the person is busy, never the meeting's details. It works once the office calendar knows the person by their email.

How tasks arrive: by email (with buttons: done, remind me, hand over) or WhatsApp.

Good to know

  • Routing check: type what a caller might ask, and see who it would reach.
  • The team member marked Default gets whatever fits nobody else.
  • A topic set on two people goes to the first. The second is the backup.
  • Outside a team member's hours, a routine call goes to whoever is on shift, and the task waits for their shift.
  • Removing a team member moves their open tasks to you.

Plan: transfers to team members work on Pro and up (and on Office Manager). On a lower plan a task is left instead. Transfers to you work on every plan (Transferring a call to you).
